We chose to freelance because we cherish the freedom and flexibility that comes with working for ourselves. But, let’s face it! Sometimes that freedom can morph into a double-edged sword, leaving us overwhelmed and drained.

Thanks to digital communication, the lines between work and personal life can blur all too easily, leading to burnout and frustration (as I personally know all too well). That’s why we’re here to chat about something crucial: setting boundaries with freelance clients.

I’m going to be real here. Setting boundaries and protecting your time and sanity is non-negotiable if you want to thrive in this be-your-own-boss lifestyle.

So this blog explores practical tips, 4 email templates, and relatable stories to show you how to set boundaries with freelance clients.

Because your time and sanity? That’s worth defending. And your control? Well, that’s worth reclaiming.

WHY BOUNDARIES PROTECT YOUR TIME & SANITY

Boundaries. It’s a word we hear A LOT, but what does it really mean in the context of freelancing?

To start, boundaries are those invisible lines that mark the limits of what you’re willing to accept in your professional (and personal!) relationships, and what you’re not willing to tolerate.

Think of boundaries as your personal rules of engagement – the standards you set for how you interact with clients and how they interact with you.

Now why are boundaries so damn important for freelancers?

Well, they’re like the guardrails on a winding road, keeping you from veering off course into burnout and resentment.

Without clear boundaries, it’s way too easy for your work to spill over into every nook and cranny of your life, leaving you thin and frazzled.

Yet freelancers can find it super duper challenging to actually set and maintain boundaries with their clients since, after all, clients pay the bills and we gotta be grateful, right? Ehh…let’s bust a few myths, shall we?

“Boundaries define our limits and protect our inner peace.” – Brené Brown

Contrary to popular belief, setting boundaries is NOT about being rude or inflexible. It’s about self-preservation and creating a healthy work environment for yourself AND for your client.

But here’s what I want to drive home: boundaries are NOT set in stone! They’re fluid and adaptable, evolving as your needs and circumstances change.

Boundaries have very real, tangible effects on your overall well-being, especially when it comes to maintaining a healthy work-life balance. So let’s review some of the most valuable benefits to really understand why boundaries are the secret to protecting your time and sanity.

BENEFITS OF BOUNDARIES FOR FREELANCERS

When you have clear boundaries set, they act as a personal force field that shields you from the relentless demands of work and allows you to carve out precious time for yourself (which is essential for success!).

To put it simply, by setting boundaries with your freelance clients, you’re reclaiming your power over your schedule and reducing the risk of burnout. You basically take back control of your routine, deciding when you do certain tasks, reply to emails, and end work for the day.

Plus, you’re signaling to clients that you value your time and expertise. This sets the stage for a more respectful and mutually beneficial relationship since when you value yourself, others will value you, too.

So, all in all, there’s 4 benefits I want you to remember:

  1. Reclaimed control: setting boundaries helps you actually act like your own boss, making it possible for you to decide when to do what
  2. Better work-life balance: having boundaries prevents work from overshadowing the rest of your life
  3. Improved client respect: setting boundaries shows professionalism, and this demands respect from clients who are now more likely to adhere to your terms
  4. Boosted productivity: when you establish clear working hours, you create designated work time free from distractions, allowing you to focus and accomplish more tasks efficiently when you actually intend to

CONSEQUENCES OF IGNORING BOUNDARIES

On the flip side, neglecting to set boundaries can derail your freelancing career. Dramatic, I know, but it really is that serious!

Without clear limits, work can easily spill over into your personal life, taking away from your downtime and eroding your mental and physical health. And when you’re always focusing on work, you’re not focusing on your loved ones – and they feel it.

Constantly being “on” can lead to exhaustion, resentment, and, ultimately, a loss of passion for your work.

The Productivity Flow consequences of ignoring boundaries as a freelancer

To sum it up, the two most impactful consequences of ignoring boundaries are:

  1. Increased stress and anxiety: without boundaries, the constant pressure to be available and responsive can lead to heightened levels of stress and anxiety, harming your mental and emotional well-being and making work and life just that much harder
    1. For instance, think of those Sunday Scaries…
  2. Strained personal relationships: ignoring boundaries can cause tension in your personal life and strain in your relationships with loved ones who may feel neglected or overshadowed by your work

Trust me, it’s a slippery slope you don’t want to slide down. Let me share a personal example…

Before I started productivity coaching, I freelanced out social media services. When I landed my first big company as a client, I felt pressure to go above and beyond since it was the largest paycheck I’d ever received and I wanted them to know that I deserved it.

Before I could blink, the company took advantage of my willingness to work hard. I’d get texts and emails at all hours of the day and night, every task was deemed “urgent” and, if not completed the day I got word of it, I was late.

In a matter of weeks I began resenting the client and the work, dreading the tasks whenever I got to my desk. I resented how I could be in the middle of a task, then I’d get a phone call about something else that had to be done right then and there or it was the end of the world.

My routine felt out of my control, I grew exhausted from faking kindness and task switching so much, and I eventually thought about dropping them as a client.

But then I decided to just not reply when I was busy.

I emailed the client letting them know of my working hours and when they can expect to hear back from me, plus created a schedule that ensured I had time throughout my day to respond and get new tasks done.

“Boundaries teach others how to treat you.” Dr. Phil

There was an adjustment period, of course. Yet it didn’t take long for the client to see I was serious about this and to start respecting my simple asks. And just like that, work became much more enjoyable again, I felt less dread, became more present during non-working hours, and got my power back.

HOW TO SET BOUNDARIES WITH FREELANCE CLIENTS

Now that we’re on the same page about the importance of boundaries, it’s time we get into some actionable strategies.

So here’s my 5 practical tips for setting boundaries with your freelance clients:

  1. Clarify expectations
  2. Set clear working hours and communication channels
  3. Learn to say no
  4. Establish consequences for crossing boundaries
  5. Regularly review and adjust boundaries as needed

CLARIFY EXPECTATIONS

If you have a brand new client, then start off on the right foot immediately. Clearly outline your expectations with clients from the get-go to avoid miscommunication, confusion, or disrespect down the line.

But let’s say you’re in the same boat I was and have a current client that you gotta set boundaries with now…

First I gotta say GOOD FOR YOU!

Don’t forget that setting boundaries is not about being inflexible or selfish, but about self-preservation. So be proud of yourself for realizing that and being willing to put your well-being first.

The Productivity Flow 5 tips how to set boundaries with freelance clients

Then decide on your expectations, which is what the rest of this section covers (below).

Most importantly, let your client know that some things are going to be changing for the better. Shoot them an email that clarifies your expectations moving forward in a very kind way. You can even tell them that you’re doing this to create a more supportive environment for the both of you. Who can get mad at that?

If your client does express worry or seems discontent, let them be. Don’t be a people-pleaser, especially to those who don’t care about pleasing you.

There will probably be an adjustment period during which you gotta practice some patience. But if the client does not respect your expectations, then that is probably not your ideal client and you should consider moving on.

In the next section, we’ll talk more about how to communicate your boundaries effectively, especially if that means having a difficult conversation.

SET CLEAR WORKING HOURS & COMMUNICATION CHANNELS

The biggest game changer for me was when I established very clear working hours and communication channels, AND stuck to them religiously.

First I outlined my ideal week. I asked myself:

  • When do I want to start work every day? End work?
    • Answering this defines your working hours
  • When do I want to do what kind of tasks, and for how long?
    • Answering this helps you task batch and time block your week so you can do the same kind of tasks at the same time to avoid context switching and draining energy
    • It also helps you set expectations for when tasks and deliverables can be finished
  • When do I want to answer emails/texts/voicemails?
    • Answering this defines your expectations for communication and communication channels

Once I decided on my expectations (aka answered those above questions), I told my clients when they can expect to hear from me, when I’ll be unavailable, and how they could reach me if needed. In other words, I clarified my expectations!

But here’s the key part: I had to actually implement my expectations, too. You gotta be able to follow your own expectations, otherwise how can you expect someone else to?

So once you have chosen how you want to spend your time, act on it.

Chose to view your boundaries as non-negotiable. Respect your boundaries. Pretty soon, you’ll start to fall in love with your boundaries and you won’t have to think about implementing them, but just will.

LEARN TO SAY NO

As tempting as it may be to say yes to every request that comes your way, sometimes it’s absolutely necessary to decline projects or tasks to maintain your sanity.

The best solution: set boundaries around scope creep.

In other words, define your scope of work (what you’re hired to do) and stick to it. Don’t add anything without assessing if you truly have the time and space to take it on. And if you don’t, tell your client that it falls out of the scope of work you were hired for, so you have to kindly decline.

Sometimes, the client will come back and say they totally understand and it’s no problem. Other times, the client will ask me to reevaluate since it’s an urgent need. It’s in these moments that I love to upsell my services!

If – and that’s a big if – I have the room to take it on, I’ll say sure, but for an additional fee. That way I at least feel valued for the additional services and resentment doesn’t build.

“Healthy boundaries are not walls. They’re gates and fences that allow you to see the beauty of your own garden.” – Lydia Hall

Here’s an email template you can use to reply to a client who requests work beyond the agreed-upon scope:

“Hi [Client],

I appreciate your feedback and dedication to achieving the best possible outcome for the project. However, I’d like to revisit our initial agreement regarding the scope of work.

As outlined previously, work beyond [insert agreed-upon hours/scope] are subject to additional fees.

While I’m very committed to delivering quality work, I need to ensure that I’m compensated fairly for the additional work involved.

I’m more than happy to discuss how we can move forward in a way that aligns with both of our needs and expectations. Please let me know if you’d like to schedule a meeting to further chat about this matter.

Thanks a ton for your understanding!

Best,

[Your Name]”

By firmly but professionally addressing the issue of scope creep and offering to find a mutually beneficial solution, I show my commitment to maintaining boundaries while also preserve the integrity of my work (and self!).

But if I don’t upsell or say no upfront and do end up taking on the additional work, then I eventually and always feel dread towards both the work and the client. I hurt my work-life balance since I was unable to add this extra work into my weekly outline, and can even take my negative emotions out of my loving boyfriend (which then makes me feel ten times worse!).

So I’ve learned my lesson – and I’m sure you have, t0o! Question is: are you going to act on it?

You know, being accountable to clients is honestly ten times easier than being accountable to yourself. That’s probably why my Accountable Mindset coaching program is so popular! ESTABLISH CONSEQUENCES FOR CROSSING BOUNDARIES

Humans are humans – we can forget, make mistakes, and overlook things when rushed. And let’s be real: some humans have no problem disrespecting other people’s needs.

Point is: your boundaries will be crossed eventually. So what do you do about it?

First, prepare yourself ahead of time to enforce consequences if clients repeatedly disregard your boundaries. When you clarify the rest of your expectations, also outline what would happen.

If disrespecting boundaries is accidental, then just forgive and let go. Feel free to remind your client that the next time it happens, you’ll have no choice but to enforce those consequences you previously shared.

But if it happens more than once, that’s when you gotta put the boss hat on and put your well-being first.

Whether it’s implementing additional fees for rush projects or terminating the contract altogether, you gotta actually enforce it. Doing so shows the client that you mean business, that you deserve the respect you’re asking for, and that you have your sh*t together.

It’ll also discourage the client from disrespecting your boundaries another time, which is a win in my book!

REGULARLY REVIEW & ADJUST BOUNDARIES

Like I said earlier, boundaries are not set in stone. They evolve as your needs and circumstances change.

For instance, you’ll need a different set of boundaries during the time you’re pregnant versus when you have that newborn baby.

When life changes, so should your expectations.

So make it a habit to regularly review and adjust your boundaries to ensure they remain effective and aligned with your current priorities and commitments.

I personally will recreate my ideal week and ask myself those questions I outlined above every single quarter. There’s been many times when I don’t change anything, but I’m always grateful I went through the process for those times that do need adjustments.

Cuz if you and I don’t make those adjustments that you and I need to be our best selves, then who will?

HOW TO COMMUNICATE BOUNDARIES EFFECTIVELY

Setting boundaries is one thing, but effectively communicating them to your clients is where the real magic happens.

Here’s how to ensure your boundaries are crystal clear and well-received:

  1. Be clear and direct
  2. Choose the right time and method
  3. Be kind yet assertive

BE CLEAR & DIRECT

When it comes to boundaries, ambiguity is your worst enemy.

So be upfront, very clear, and super direct when communicating your boundaries to your clients. Use easy to understand language to articulate your expectations and limitations.

Point is: don’t leave any room for misinterpretation!

Here’s a personal example:

Part of my freelance work was doing graphic design for social media posts. I worked with a client who consistently sent out emails and text messages requesting revisions outside of my working hours.

“Boundary setting helps you prioritize your needs over other people’s wants.” – Lauren Kenson

I grew frustrated from feeling disrespected and overwhelmed, and my client grew frustrated from not hearing back from me immediately. So what did I do?

I sent the below email to my client, which I turned into a template that you can also use to clearly communicate your boundaries to your own clients:

“Hi [Client]!

I hope you’re doing great. I wanted to touch base regarding our communication and working hours.

While I’m super committed to delivering high-quality work and meeting deadlines, I need to clarify that I’m only available for revisions and correspondence during [insert working hours].

Why? To ensure that I can give your project(s) the energy and attention it deserves while also maintaining a healthy work-life balance.

If there’s ever an urgent (day of) need, please know that my policy is to charge an additional fee of [insert fee].

I appreciate your understanding and cooperation in this matter. If you have any questions, concerns, or requests for me, please don’t hesitate to reach out!

Best,

[Your Name]”

Short, sweet, and to the point. That’s really all you need for clear communication.

So the next question is: when should you communicate your boundaries?

CHOOSE THE RIGHT TIME & METHOD

An important strategy for discussing boundaries with your freelance client is to choose the most effective timing and method for communication.

Whether it’s during the initial onboarding process (which is what I recommend if possible), in a formal contract, or during regular check-ins, find a communication method that works both for you and the client.

Obviously the most common form of professional communication is email, so typically just sending the email that I outlined above when you start working together should do the trick.

If you’ve already started working with the client and still need to put your boundaries in place, I still suggest using that email template above. Either way, adapt the email to ensure it fits your situation.

Also approach the conversation with confidence and professionalism. And be prepared to answer any questions or concerns the client may have.

BE KIND YET ASSERTIVE

Let’s face it: not every client will be thrilled about your boundaries. Some may push back or resist the idea altogether.

It’s during these situations when it’s crucial to stay firm and stand your ground.

Be empathetic, of course. Hear your client out and find out what their concerns are. They key: make them feel heard.

You do that by active listening, reiterating what they shared in your own words, and offering a solution.

And when you offer a solution, make sure that it still aligns with your boundaries. Be assertive in your responses, and don’t be afraid to repeat how important boundaries are for work-life balance.

Who knows? Maybe you’ll inspire your client to set some more boundaries of their own, too.

OVERCOMING CHALLENGES IN BOUNDARY-SETTING

Honestly, setting boundaries with clients is rarely a walk in the park. Challenges can absolutely arise along the way, with the most common being:

  1. Resistance from clients
  2. Internal guilt or fear
  3. Feeling alone

I’ve personally run into all 3 of those challenges, so let’s talk about how to tackle them head on.

RESISTANCE FROM CLIENTS

It’s not uncommon for clients to push back when confronted with boundaries. It’s best to mentally prepare for that to happen, and if it doesn’t then you’re just happily surprised!

Some clients may question your professionalism, feel entitled, and/or want unlimited access to your time (aka they really just want an employee).

Remember: in these situations, it’s essential to stay firm and consistent in upholding your boundaries!

As I said earlier, don’t be afraid to reiterate the importance of boundaries for maintaining a healthy working relationship.

The Productivity Flow email templates to set boundaries with freelance clients

Here’s an email template you can use in response to a client’s resistance:

“Hi [Client]!

I appreciate your enthusiasm and dedication to this project. However, I want to clarify communication expectations to ensure that we’re on the same page.

As I’ve mentioned in the past, I’m available for your inquiries and revisions during [insert working hours].

While I understand that urgent issues may arise, I kindly ask for your understanding in respecting my designated working hours.

Why? This allows me to provide you with the best possible service while still maintaining a healthy work-life balance.

Thanks a ton for your cooperation and understanding. If you have any questions, comments, or concerns, please don’t hesitate to let me know!

Best,

[Your Name]”

By politely but firmly reiterating your boundaries AND the reasons behind them, you assert your needs while also fostering open communication with the client (win, win!)

But I’m going to be real: when we feel that resistance from clients, we typically become more accountable to them to to ourselves. So if that sounds like you, let’s hop on a FREE call so you can learn some personalized tricks to set and stick to your boundaries. This call has no strings attached, but if you wanted to learn more about my Accountable Mindset coaching program afterwards we can talk!

INTERNAL FEAR OR GUILT

As freelancers, we often feel guilty for saying no or setting limits with clients. We worry about jeopardizing our reputation or losing out on potential opportunities.

Trust me, I know this song and dance too well!

And I’ve learned that it’s essential to recognize that boundaries are necessary for ensuring the sustainability of your business. If you’re burnt out or resentful, you won’t take advantage of a new opportunity the way you could if you were your best self.

“Love yourself enough to set boundaries. Your time and energy are precious and you get to decide how to use them.” – Anna Taylor

So I really urge you to practice self-compassion and remind yourself that setting boundaries is not only okay, but absolutely required for real success and happiness.

But if you’re fearful that saying no to a new project will prevent the client from asking for work in the future, then just say “not right now.”

Here’s an email template that you can use to say just that:

“Hi [Client]!

Thanks so much for considering me for this additional project! While I really appreciate the opportunity, I’m currently at full capacity with existing commitments and won’t be able to take on any new projects until [insert date].

I apologize for any inconvenience this may cause. And if you’d like to discuss scheduling future projects or have any questions, please feel free to reach out. I’m more than happy to assist in any way I can in the future.

Thanks a ton for your understanding!

Best,

[Your Name]”

FEELING ALONE

Freelancing is lonely. You work for yourself, by yourself.

But that doesn’t mean that you have to go at it alone.

Seek support from peers or mentors who understand the challenges of freelancing. I know I finally felt heard and understood when I started sharing my struggles with other freelancers since I saw that other people were going through the same things.

Whether it’s venting out frustrations, sharing success stories, or seeking advice on boundary-setting techniques, having a supportive community can make all the difference.

Surround yourself with people who uplift and empower you to prioritize your needs and advocate for yourself in your client relationships.

And if you feel like you don’t have those kind of people in your life right now, reach out to me! Text me your thoughts at (205) 964-2122 and I promise you’ll find a new buddy.

I felt like no one in my world really got me for the longest time. I struggled learning how to freelance, but then have run a successful freelancing career with several clients for years. Point is: I’ve been in your shoes, and don’t want you to think you’re alone.

MAINTAINING BOUNDARIES LONG-TERM

Setting boundaries is just the first step – the real challenge lies in maintaining them over the long haul.

So here’s how to ensure your boundaries stay intact for the duration of your freelance career:

  1. Practice self-awareness and self-care
  2. Set boundaries with yourself
  3. Celebrate successes and learn from setbacks

PRACTICE SELF-AWARENESS & SELF-CARE

Remember how I said your boundaries are not set in stone?

Well, the best way to know when they need adjusting is by regularly checking in with yourself to assess your needs. As I mentioned before, clarify your own expectations at least once a quarter.

Also pay attention to signs of burnout or resentment, and take proactive steps to prioritize your self-care.

The Productivity Flow a self care mindset

Something I always do with my coaching clients is define what having a self-care mindset really means. It’s basically the belief that you alone are responsible for your own growth and care, so you gotta be accountable for giving yourself whatever it is that you need to succeed.

Whether it’s scheduling regular breaks, practicing mindfulness, or engaging in hobbies outside of work, make self-care a non-negotiable part of your routine.

SET BOUNDARIES WITH YOURSELF

Following boundaries is not just about setting boundaries with your freelance clients. It’s also about setting boundaries with yourself!

Let me explain how:

Be mindful of your own work habits and tendencies, and don’t be afraid to say no to projects or commitments that don’t align with your values or priorities.

Don’t ever forget that it’s okay to put yourself first. After all, that’s what having a self-care mindset is all about!

I’m going to be honest – it’s not always natural or easy to do this. Remember how I said we have this habit of being more accountable to our clients than to ourselves? Well, that’s why I have the Accountable Mindset coaching program! So if you struggle with putting yourself first, then it’s time to book a FREE call to figure out how to move forward.

CELEBRATE SUCCESSES & LEARN FROM SETBACKS

All wins are worth celebrating – no matter how small.

Let’s say I finish a project early, get really good feedback from a client, or landed a new project (whatever the win may be), I always throw a 30 second dance party in my office.

If it’s a super big win, then I’ll either end work a little early that day, go out to a nice dinner with my boyfriend, or get my favorite frozen yogurt (with alllllll the toppings!).

Point being, there’s different levels of celebrating that you can do depending on how big the win is. Second point being, don’t skip over your celebration!

Whether it’s successfully enforcing a boundary with a challenging client or simply taking a day off to recharge, acknowledge and be proud of your achievements along your journey.

“Each time you set a healthy boundary, you say ‘yes’ to more freedom.” – Nancy Levin

At the same time, don’t be too hard on yourself when setbacks occur. Easier said than done, of course, and can require a bit of a mindset shift – but damn it feels good to mess up and not feel like it’s the end of the world.

At the end of the day, we’re human – we’ll never be perfect. Don’t strive for the impossible.

Instead, view setbacks as opportunities for growth and learning, and use them to refine your boundaries moving forward. Figure out what went wrong, and adapt moving forward to prevent that setback from happening again.

Then celebrate the fact that you learned from a setback instead of allowing it to set you back even more.

CONCLUSION
