WHY THE ENERGY-BASED TASK PLANNER IS DIFFERENT
Most planners are built around one thing: time.
They encourage you to fill out every hour, pack your schedule, and squeeze as much possible into your day.
But most planners rarely consider something even more important than time: your energy.
The Energy-Based Task Planner takes a different approach cuz productivity isn’t just about how much time you have. It’s about how much mental energy you have available to do your best work.
So instead of asking yourself, “How much time do I have?” this planner encourages you to ask, “What do I realistically have the mental energy to do well?”
That simple shift changes everything.
“This planner will help me develop the kind of consistency I can use to better recognize my capabilities and limitations.” -Ilene (Beta Tester)
Rather than forcing yourself through an unrealistic to-do list, you’ll learn to align your tasks with your natural energy levels, prioritize what matters most, and create a plan that feels supportive instead of overwhelming.
And here’s my favorite part: as you continue using the planner, built-in Smart AI Insights help you:
- Recognize patterns in your energy
- Identify when your focus tends to be strongest
- Notice what may be draining your mental bandwidth
- Offer personalized planning suggestions based on your habits over time
Which means the more consistently you use the planner, the more you’ll understand how you work best!
Cuz true sustainable productivity isn’t about doing more. It’s about learning how to work with yourself instead of against yourself.

HOW TO USE THE PLANNER
STEP 1: START WITH YOUR 2-MINUTE CHECK-IN
Before adding a single task to your day, take literally just 2 minutes to check in with yourself. Here’s how:
Each morning, you’ll be asked to quickly assess 3 things:
- Your energy level: high, medium, or low
- Your mental clarity: high, medium, or low
- Your available work time: how much time do you realistically have to dedicate to focused work today? Don’t include the time you’re in meetings!
While this may seem like a small step, this daily check-in creates intentionality before you dive into your day.
Which means instead of planning based on what you wish you could accomplish, you’ll create a plan that reflects the reality of your day.
So don’t skip out on this! Truthfully it would probably take you less than 2 minutes!
In sum, this little check-in helps you set more realistic expectations, make better decisions about where to focus your energy, and build a planning habit that feels supportive instead of overwhelming.

STEP 2: ORGANIZE TASKS BY ENERGY
Now that you’ve done your 2-Minute Morning Check-In, it’s time to build your task list.
But instead of creating one long, overwhelming list, you’ll organize your tasks based on the amount of mental energy they require.
Which is why this planner includes 3 task categories:
- High energy: tasks that require deep focus, creativity, strategic thinking, or complex decision-making
- Medium energy: tasks that require some concentration but aren’t as mentally demanding
- Low energy: simple, routine, administrative tasks that are easier to complete when your energy is low
Matching your work to your energy is one of the biggest mindset shifts this planner encourages.
Rather than forcing yourself to tackle deep-focus work when you’re mentally drained, you can save those tasks for when your energy is naturally higher. Then use those low energy periods for lighter work.
This helps reduce frustration, improve focus, and create a more sustainable way of working.
To add a task, you simple click the Add Task button in the energy column where it belongs. Then:
- Give your task a name
- Add an estimated duration to help you plan a realistic workload
- Select your preferred time of day (Morning, Afternoon, or Evening) using the dropdown menu
Once you’ve selected the time of day you will do the task, the task will automatically appear on your Daily Timeline where you can easily rearrange it later as your schedule evolves.

STEP 3: CHOOSE YOUR TOP 3 PRIORITIES
Once your tasks are added, it’s time to decide what truly matters today.
Instead of trying to tackle everything on your to do list, the Energy-Based Task Planner encourages you to identify “Today’s Top 3” – aka your 3 most important priorities for today.
Here’s why:
Focusing on just 3 key tasks helps you reduce overwhelm, gives your day a clear sense of direction, and keeps your attention on the work that will make the biggest impact.
Think of these as your anchors for the day. If everything else gets pushed to tomorrow cuz life happens, completing these priorities will still help you end the day feeling like you’ve made meaningful progress.
To select your Top 3, simply click the star icon on the 3 tasks that are most important from your High Energy, Medium Energy, and Low Energy task columns.
As you star each task, they’ll automatically appear in the Today’s Top 3 section at the top of your planner. This gives you a quick visual of your daily anchors.
Remember, your Top 3 don’t all have to come from the same energy category. The goal is to choose the 3 tasks that will have the greatest impact on your day while still being realistic for the energy and time you have available.
STEP 4: BUILD A FLEXIBLE DAILY TIMELINE
Now it’s time to map out your day!
Your Daily Timeline is divided into Morning, Afternoon, and Evening sections to help you visualize your workload and create a realistic flow for the day.
But before you edit your Daily Timeline, be sure to enter any meetings or appointments you already have scheduled on your calendar. Simply click the “Add meeting” button to add each meeting to the Meetings section along with its start and end time, and add any notes you may need to refer to.
This allows the planner to account for the time you’ve already committed, making it easier to see how much focused work time you actually have available. It also adds all of your meetings to your Daily Timeline automatically.
Now since you already selected a preferred time of day when creating each task, they’ll already be organized within your Daily Timeline. From there, you can simply drag and drop tasks to reorder them around your meetings or adjust your schedule as your day unfolds.
“I wish I had a tool like this when I was pregnant with my first child!” – Abigail (Beta Tester)
Keep this in mind: your Daily Timeline isn’t meant to be a rigid schedule that you have to follow perfectly. No siree!
Think of it as a flexible roadmap. If priorities shift, a meeting runs long, or your energy changes throughout the day, just rearrange your tasks and keep moving forward.
The goal isn’t to create a perfect plan. It’s to create a plan that adapts with you.

STEP 5: CHECK IN WITH YOUR ENERGY (OPTIONAL)
Your energy isn’t static. I bet you’ve noticed this. It naturally shifts throughout the day.
That’s why the Energy-Based Task Planner includes a 30-second afternoon energy check-in to help you quickly pause, notice how you’re feeling, and continue your day with intention.
Around midday, you’ll receive a notification in your browser tab that says, “Time for your afternoon check-in!”
Simply click the section “Quick Afternoon Energy Check-In” and choose the option that best reflects your current energy level: High, Medium, Low.
This literally takes 30 seconds, but that small moment of awareness can make a big difference in how you approach the rest of the day.
While this afternoon check-in is completely optional, it’s one of the best ways to get the most out of the planner over time. Your responses are automatically tracked and incorporated into your Weekly and Monthly Insights (more on that soon), helping you recognize patterns in your energy and productivity.
The goal isn’t to judge yourself or expect the same energy every day or all day long. It’s just to build greater self-awareness so you can make more intentional decisions and better understand how your energy naturally changes over time.
Don’t forget to purchase your ENERGY-BASED TASK PLANNER so you can plan your days more intentionally starting today! Just click that button below to get started!
STEP 6: END YOUR DAY WITH A 2-MINUTE REFLECTION (OPTIONAL)
So before you wrap up your workday, take literally just two minutes to reflect on how the day went.
The “2-Minute End of Workday Reflection” is designed to be quick and simple, giving you a chance to acknowledge your progress, notice how your energy shifted throughout the day, and make any adjustments for tomorrow.
Rather than rushing from one day to the next, this small pause helps you close the loop and start building greater awareness of your work habits.
Over time, these daily reflections become even more valuable. Combined with your morning and afternoon energy check-ins, they help the planner’s Smart AI Insights learn your unique productivity and energy patterns.
So as your planner gathers more information, it provides increasingly personalized insights and suggestions to help you plan in a way that better supports how you naturally work.
Don’t forget! The goal isn’t to have a perfect day every time but to learn from each day so tomorrow can be a little more intentional than today.
STEP 7: ZOOM OUT WITH WEEKLY + MONTHLY INSIGHTS (OPTIONAL)
One productive day is great, but real, lasting change comes from recognizing patterns over time. That’s where your Weekly and Monthly Insights come into play!
On the top of the planner underneath the date you’ll notice a button that says, “Weekly.” When you click that your Weekly Overview opens. This helps you zoom out and see the bigger picture by highlighting:
- Your completed tasks
- Top 3 priorities
- Momentum throughout the week
- Your Energy Flow Chart
Your Energy Flow Chart is automatically created when you answer the energy check-ins throughout the week!
So now instead of judging your productivity day by day, you can begin to notice trends, celebrate progress, and identify what’s helping you stay consistent.
Your Monthly Overview takes an even broader view. You get there by clicking the “Monthly Overview” button when you’re in the Weekly Overview.
As your planner collects information, you’ll begin to uncover bigger patterns in your work habits, such as recurring periods of overwhelm, natural energy rhythms, and whether your workload is supporting sustainable progress or leading toward burnout.
You’ll also receive personalized Smart AI Insights that offer helpful observations and suggestions based on your planning habits and energy.
These insights aren’t about tracking perfection. They’re about building self-awareness. The more consistently you use the planner, the more meaningful these patterns become, and the more they help you make small adjustments that lead to more intentional, sustainable productivity over time.

BEST PRACTICES: GET THE MOST OUT OF YOUR PLANNER
USE THE PLANNER AS A GUIDE, NOT A CONTRACT
Your planner is meant to support you, not judge you.
Some days won’t go as planned, and that’s okay. Instead of viewing changes as failures, simply adjust your plan and keep moving forward.
Progress comes from adapting, not following a perfect schedule.
PLAN AROUND YOUR ENERGY, NOT IDEAL SELF
The more honest you are during your daily check-ins, the more helpful your planner will be.
Rather than planning for the version of yourself you hope shows up, plan for the person you are today.
A realistic plan is far more likely to lead to meaningful progress than an overly ambitious one.
LET YOUR PLAN EVOLVE THROUGHOUT THE DAY
Your energy naturally changes, and your planner should be able to change with it.
If you focus dips, a meeting runs long, or priorities shift, don’t hesitate to rearrange your tasks in the Daily Timeline.
Flexibility is one of the biggest strengths of energy-based planning.
LOOK FOR PATTERNS, NOT PERFECT DAYS
The real power of the Energy-Based Task Planner comes from using it consistently over time.
Your Weekly and Monthly Overviews help you recognize patterns in your energy, workload, and productivity so you can make small adjustments that lead to more sustainable habits.
