Let go of your old tired habits and plant new habits in fertile soil. – Harley King

Planning your day when working from home is one of those things people assume should be easy, until you glance at the clock at 10:47 am and wonder where your entire morning went.

You started with good intentions. Maybe even a to-do list. But somehow the day filled up with emails, Slack messages, laundry swaps, texts, quick “just a minute” tasks, and half-finished projects.

And now you’re behind…again.

Working from home sounds flexible and freeing. And it really can be. But when there’s no built-in structure around you – no commute, no clear start time, no obvious stopping point – your brain defaults to reactive mode.

“Schedules are meant to help, not hinder. Create them with your lifestyle in mind.” – Chrissy Halton

The issue isn’t discipline, motivation, or time management. The issue is that you haven’t intentionally structured your day.

And structure doesn’t mean rigid! It doesn’t mean scheduling every minute or turning your home into a corporate office.

It means designing your day so your brain knows when to focus, when to rest, and when to stop.

When you do that, working from home stops feeling so chaotic and starts feeling calm, clear, and actually productive.

Which is why in this blog, you’re going to learn:

  • How to structure your work-from-home day so your priorities actually get done
  • The simple rituals that make starting and stopping easier
  • How to plan around your energy, not just your calendar
  • A sustainable way to stay focused without burning out

Let’s build a work-from-home day that works for you, not against you.

Before we dive in, I wanted to let you know that I have several FREE TOOLS for you scattered throughout the blog for specific tips! That way you can get started structuring your routine on your own.

WHY STRUCTURING YOUR WORK-FROM-HOME DAY HELPS YOU GET THINGS DONE

If you don’t intentionally structure your work-from-home day, you’ll default to reacting.

Reacting to emails. To notifications. To whatever feels the most urgent in the moment.

And when you work from home, there’s tons of things competing for your attention! Work tasks blend into home tasks. Life interruptions happen in real time.

Without a plan, your day gets decided for you.

The result? You’re busy all day, but not productive.

The Productivity Flow how to build your work from home routine to actually get things done

Here’s what’s really happening behind the scenes:

Every time you stop to ask, “What should I work on next?” your brain burns energy. Every time you switch tasks, you lose momentum. Every time you respond to something unplanned, you move further away from your priorities.

That constant decision-making and context switching is simply exhausting!

Structure removes that friction. That’s why it matters so much.

When you structure your work-from-home day, you:

  • Reduce decision-fatigue
  • Know exactly what deserves your focus
  • Protect your time for meaningful work
  • Build momentum early
  • Create a clear stopping point at the end of the day

Structure isn’t about control. It’s about clarity. And clarity is what allows you to get things done without feeling scattered or burnt out.

“Remote work is about the flexibility to build a lifestyle that allows you to plan your work around your ideal life, not the other way around.” – Mandy Fransz

Which is why in the next few minutes, we’re going to walk through how to:

  1. Start your day intentionally (before work even begins)
  2. Choose priorities that truly move the needle
  3. Protect your focus with buffer blocks and planned breaks
  4. End your day in a way that supports work-life balance

Let’s start at the beginning…your mornings.

Don’t forget to book your FREE PRODUCTIVITY ALIGNMENT SESSION for personalized support in updating your routine to be more intentional! So be sure to click that button below, answer a few short questions, and choose the time for our call together!

STEP 1: WIN THE MORNING BEFORE WORK STARTS

Your morning sets the tone for everything that follows!

Haven’t you ever woken up late, rush through getting ready, then open your laptop just to already feel behind?

That’s cuz your brain immediately went into reactive mode. You start the day trying to catch up instead of leading it.

The Productivity Flow 5 things to do before the workday starts

That rushed energy doesn’t disappear once work begins. No sir! It seeps into your focus, your decisions, and your patience.

The shift to get more done throughout your day truly starts here: give yourself a buffer before the workday begins.

That doesn’t mean waking up at 5 am (unless that’s your thing). It means building in enough space so you’re not rolling straight from your bed into your inbox.

Even just 5 intentional minutes of “you time” makes a world of difference…especially for parents or anyone whose day quickly becomes about everyone else’s needs.

That time could look like:

  • Drinking your coffee in silence
  • Stepping outside for fresh air
  • Stretching for a few minutes
  • Journaling one page
  • Reading something that grounds you

It doesn’t need to be elaborate. In fact, it shouldn’t be elaborate. It should be small so you actually do it. The big key: it needs to be intentional.

When you do this, you shift out of reactive mode and into proactive, intentional mode before work even starts.

“Always be a first-rate version of yourself instead of a second-rate version of someone else.” – Judy Garland

You remind your brain that you are choosing how the day unfolds. And that small shift in the morning creates momentum that carries into the rest of your day.

So what changes do you need to make to your mornings? Let’s figure that out together during a FREE PRODUCTIVITY ALIGNMENT SESSION! To get your 30-minute call booked, click that button below, fill out the short survey, and choose your meeting time!

STEP 2: PLAN THE NIGHT BEFORE

SO YOU DON’T WASTE MENTAL ENERGY IN THE MORNING

Decision fatigue kills momentum.

So if you sit down at your desk in the morning and ask yourself, “Okay…what should I work on first?” you’ve already lost valuable cognitive energy.

Science proves that your brain is freshest at the start of the day. That’s not the time to be sorting through tasks, scanning your inbox, or mentally negotiating what feels urgent.

That work should already be done the night before.

The Productivity Flow 5 minute checklist to plan your workday

Which means that before you end your workday (or even before dinner, after dinner…some point in the evening) take literally just 5 minutes to plan:

Review your calendar. Review your task list. Then identify 2 simple things:

  1. What time you need to sit down and officially start work
  2. What your very first task will be

That’s it!

You don’t need to map out every minute. You just need to remove ambiguity.

When you wake up knowing exactly when you’re starting and exactly what you’re starting with, you eliminate hesitation. You reduce friction. You create clarity.

And clarity creates action.

You shouldn’t be deciding what to do at 9:13 am. You should be doing it.

“We need to do a better job at putting ourselves higher on our own to-do list.” – Michelle Obama

I personally use the TIME BLOCK MY DAY PLANNER to plan my workdays. It has space for your top 3 priorities, important tasks, buffer tasks (more on that later), out of office tasks, and notes, plus a calendar to help you actually map out your day. It works wonders, so try it out!

Just click that button below to head to my shop and get your own planner now!

STEP 3: DON’T JUST START WORKING. USE A WORKDAY STARTUP RITUAL

Most people “start work” by opening up their laptops and immediately checking their email.

That single habit can hijack your entire morning! Here’s why:

Email is reactive by nature. The moment you open it, you’re responding to other people’s priorities instead of leading with your own.

So instead of jumping straight into your inbox, create a simple workday startup ritual that signals to your brain: it’s time to focus.

Think of this little ritual / routine like a mental on-ramp for your day.

The Productivity Flow why workday startup rituals matter

For me, my startup ritual has evolved over time, but has always stayed short and repeatable. I sit down, do 5-10 minutes of meditation, read for 5 minutes, write down my affirmations and daily gratitude list, review my daily plan I made the night before, and put my phone out of reach.

Only after I completed that routine do I jump into my first task, which is usually writing since I like to eat the frog.

Let’s say I have a crazy morning or am running late. Then I only do a 2-minute meditation, skip the reading, write down my affirmations, and review my daily plan. This usually only takes me 5-7 minutes.

The key here is that I do NOT negotiate with myself. I simply begin the ritual the second I sit down at my desk.

And this ritual has changed everything.

Your ritual might include things like:

  • Reviewing your top priorities for the day
  • Closing extra browser tabs that would only distract you
  • Putting your phone on Do Not Disturb
  • Filling your water bottle
  • Setting a time for 20-60 minutes of focused work

The secret isn’t what you choose to do during your startup ritual. The secret for success is that you actually follow your ritual consistently.

From a neuroscience perspective, repetition builds cognitive cues. So when you follow the same startup sequence each day, your brain begins to associate tht pattern with getting in a productive state of mind.

“Establish a pre-work routine and an after-work routine. Working in the same place where you wake up, eat, and sleep can make anyone go crazy without proper boundaries in place.” – Marissa Owens

Over time, it reduces resistance and shortens the time it takes to get into focus mode.

You’re not relying on motivation. You’re training your brain. And that’s what makes your work-from-home day feel structured instead of scattered.

Now if you don’t know where to begin with this ritual, I got you covered. Just download the FREE 5-MINUTE WORKDAY STARTUP RITUAL to save a repeatable routine for your workdays! All you gotta do is click that button below, add your info, then check your email and come back to the blog!

STEP 4: CHOOSE 3 PRIORITIES (THAT’S IT!)

Productivity is about focus, not volume.

One of the biggest mistakes I see people make when planning their work-from-home day is trying to fit everything into it. The result? A hella long, overwhelming to do list that guarantees you’ll feel behind by 2 pm.

Instead, simplify it. Choose just 3 meaningful priorities.

Not errands. Not busywork. Not the tiny tasks that feel productive but don’t actually move anything forward.

The Productivity Flow the secret to finishing your priorities

3 real priorities that, if completed, would make you say, “Yes!! Today was a productive day!!”

THAT is your benchmark. If you complete those 3, you’ve won the day.

Now here’s where most people stop, but I want you to go one step further: schedule your priorities.

Actually add each priority to your calendar with:

  1. A specific start time
  2. An estimated duration
  3. Any notes, links, or assets you may need

When you assign time to your priorities, you protect space for them. You stop hoping you’ll magically “find time” and start deciding when they will happen.

This builds accountability and dramatically increases follow through…just try and see what happens!

“Think about it this way: if you can create a 3-hour chunk of non-distracted work time in your house, you will be more productive than the average office worker.” – Sharon Koifman

Everything else on your to do list? That’s a bonus.

Here’s the mindset shift that really matters: more on your to do list does not equal more productivity. Focused progress on the right things does.

This can be a tough shift to make when your to do list is a mile long. So try using my FREE DAILY PRIORITIES LIST instead! It has space for only your top 3 priorities of the day, plus a calendar so you can determine when exactly you’re going to do them. Just click that button below, add your name and email, then check your inbox to download now!

STEP 5: PLAN AROUND YOUR ENERGY (NOT JUST TIME)

Ya know, most people plan their work-from-home day around availability.

Very few plan around energy.

But your brain doesn’t operate at the same level all day long. You have natural peaks and dips in focus, creativity, and decision-making power. If you ignore that, everything feels way harder than it needs to.

So instead of asking, “When do I have time?” try asking, “When do I think best?”

The Productivity Flow one question to plan your workday better

This helps you identify your peak focus window. Is it first thing in the morning? Late morning? Mid-afternoon?

That’s where your hardest priority belongs.

Protect that window for deep work. No email. No multitasking. No admin.

Then use your lower-energy periods for those lighter tasks: responding to emails, scheduling, organizing files, quick follow ups, etc.

When you align your priorities with your natural energetic rhythm, you reduce resistance. You stop forcing yourself to do high-focus work when your brain is running on fumes.

And completion becomes much, much easier!

“Your needs matter, too. Don’t always put yourself last.” – Rachel Hollis

This strategy is proof that you don’t need more hours in the day. You need better alignment with the hours you already have.

Don’t just time block. Energy block!

I know this is a bigger lift than the other tips in this blog. That’s why it’s super helpful to use the FREE WORKBOOK to align your calendar and time management with your energy rhythms! So click that button below, add your info, then check your email to get this workbook now. It’s a game changer!

STEP 6: DESIGN YOUR ENVIRONMENT FOR FOCUS

When you work from home, your environment IS a huge part of your productivity system.

Your space is either helping you focus, or quietly distracting you.

Now you don’t need a Pinterest-perfect office. But you do need intentionality. Here’s what I mean by that:

  1. Have a dedicated workspace
  2. Reset your desk at the end of every workday
  3. Keep essentials nearby
  4. Add environmental cues that signal “work mode”

Let’s dive deeper…

The Productivity Flow 4 ways to design your environment for focus

Start with a dedicated workspace. Even if it’s just a small corner of a room or one end of the kitchen table!

The goal is consistency. When you sit there, your brain should recognize: “THIS is where work happens!”

Next, reset your desk at the end of each workday. Aka take 2 minutes to declutter.

Clear papers and sticky notes. Close tabs. Tidy those cords. Throw away trash.

This small habit makes the next morning feel calm instead of chaotic.

The big secret is to remove visual clutter where you can. The more your eyes can scan and process unnecessary stimuli, the more mental energy you burn before you even begin.

Third, keep essentials nearby: water, notebook, chargers, planners…whatever you need to be productive. That way you’re not constantly getting up and breaking focus. Simple and oh so impactful!

And lastly, consider adding environmental cues that signal “work mode.” For example:

  • Turn on a specific lamp
  • Play the same focus playlist
  • Sit in the same chair
  • Light a candle you only use during working hours

From a neuroscience lens, super simple context cues like the ones above reduce friction and strengthen habits. When you consistently pair a specific environment with focused work, your brain builds an association.

Over time, simple entering that space makes it easier to concentrate. Kinda like magic!

“I find that I am much more creative when I’ve actually taken care of myself.” – Arianna Huffington

My main point: stop relying on willpower. It isn’t working. Instead, use your brain to your advantage and start designing your surroundings to support you.

STEP 7: SCHEDULE BREAKS ON PURPOSE

Breaks aren’t a reward for finishing everything on your list. Breaks are a strategy for sustaining focus.

When you work from home, it’s way too easy to either skip breaks entirely, or let them turn into 27 minutes of scrolling that leaves you more drained than before.

Instead, you gotta get more intentional by deciding your break times in advance.

The Productivity Flow 5 things to do as a break instead of being on your phone

If you’re already scheduling your priorities, build in short reset windows between them. Even 5-15 minutes can make a meaningful difference in your energy and attention!

Then take it one step further: decide what you’ll do during those breaks:

  • Move your body
  • Step outside for fresh air
  • Refill your water or coffee
  • Eat something nourishing
  • Text or talk to someone for a quick social connection

What you DON’T want is to default to screens!! Passive scrolling doesn’t actually rest your brain. Quite the opposite. Screens just keep your brain stimulated in a different way, still draining you.

Intentional breaks allow your brain to reset, consolidate information, and come back sharper for the next focus block.

“Balance is not something you find; it’s something you create.” – Jana Kingsford

This is how you keep your energy sustainable throughout the day!

And sustainable energy is what prevents burnout, especially when your office and your home share the same walls.

And if you don’t know exactly what to do during your breaks, you should download the FREE WORK-FROM-HOME BREAK IDEAS CHEAT SHEET! Using this cheat sheet is how to ensure you stay intentional. So click that button below, add your info, then check your email to download now!

STEP 8: USE A BUFFER BLOCK FOR DISTRACTIONS

Distractions aren’t the problem. Unmanaged distractions are the problem.

When you work from home, interruptions are inevitable. Emails come in. Texts pop up. A new idea hits you mid-task. A child needs something. The laundry is beeping. A random appointment reminder appears out of nowhere.

The Productivity Flow how to handle distractions

Let me be blunt: if you try to eliminate all distractions, you’ll get hella frustrated. It just isn’t possible.

Which means instead, you gotta learn to contain distractions. Here’s how:

Create a designated buffer block in your day: a specific window of time dedicated to handling all of the loose ends.

This is where you:

  • Respond to emails and texts
  • Tackle random to-do’s
  • Schedule appointments
  • Address home or kid-related needs
  • Process anything that popped up during focus blocks

When you know you have time later on to respond to distractions, it becomes so much easier to stay focused in the moment. It’s like you give yourself permission to let go for now.

You’re not ignoring things. You’re postponing them intentionally.

That small psychological shift reduces the urge to constantly check your phone or inbox.

“Focus means eliminating distractions, not just from other people, but the things we do to distract ourselves.” – Catherine Pulsifer

Your brain relaxes cuz it trusts that everything will get handled…just not right now. And that’s okay.

This is the power behind building buffer blocks into your day! They protect your deep work while still honoring real life.

Structure doesn’t mean pretending distractions don’t exist. It means planning for them.

And a great way to do just that is to use my FREE BUFFER BLOCK BUILDER! It gives you step-by-step instructions for designing your own buffer blocks that fit perfectly into your own life. So click that button below, enter your info, then check your inbox to download it now!

STEP 9: STAY FLEXIBLE (CUZ IT’S STILL HOME!)

Here’s where a ton of productivity advice gets it wrong.

It tells you to schedule every minute, optimize every hour, and treat your home like a corporate office.

But home is still home.

The Productivity Flow when your plan gets derailed ask yourself

Packages arrive. Kids get sick. The dog barks. Your energy dips. A client emergency pops up. Life does not pause just cuz you color-coded your calendar.

Structure should support you, not shame you.

That’s why I never recommend scheduling every minute of your day. Instead, schedule your priorities, your meetings, and your true must-do’s. Leave breathing room around them.

Flexibility isn’t failure. It’s reality.

When something interrupts your plan, the goal isn’t to spiral into guilt or declare the day ruined. The goal is to adjust intentionally.

Ask yourself:

  • What still needs to get done today?
  • What can move?
  • Where can I realistically plug this in?

THIS is how you maintain momentum without burning yourself out.

Rigid structure creates pressure. Intentional structure creates progress.

“Workplace flexibility is a bridge that takes us to a fundamentally better way of working. Work is something that you do, not somewhere to go.” – Laurel Farrer

And when you’re working from home – where work and life share the same space – progress always beats perfection.

Honestly, working from home is kind of a skill that nobody teaches. Which is why I started my productivity coaching biz: to show people there IS a better way to work from home.

So here’s your reminder to take me up on my FREE PRODUCTIVITY ALIGNMENT SESSION so I can show you how to build in some intentional structure into your day. All you gotta do is click that button below, fill out that short survey, then select your call time!

STEP 10: END WITH A WORKDAY SHUTDOWN RITUAL

If you don’t end your workday intentionally, work WILL bleed into your evenings. This has happened to you before, hasn’t it?

You see, when you work from home, there’s no commute signal to say, “We’re done here.”

Your laptop is always 5 feet away, your to-do list is still open, and that unfinished task lingers in the background of your mind as you attempt to relax.

The Productivity Flow how to end your workday

That is why a workday shutdown ritual is essential. Aka a simple routine that you to do to end your workdays.

So before you close out work for the day, take a few intentional minutes to:

  • Acknowledge what you got done today (hello small wins!)
  • Move any unfinished tasks to another day
  • Choose tomorrow’s top 3 priorities
  • Declutter your workspace
  • Close your laptop
  • Physically leave your workspace (even if that just means walking into another room)

These small actions create physical closure. They basically serve as your commute ritual without the commute!

From a neuroscience perspective, your brain craves completion. So when you leave tasks open-ended without a plan, they continue to occupy your mental space. Aka that “I should be doing this” feeling.

But when you decide what happens next, your brain can relax.

“Work-life balance is not just a buzzy, self-help term that real business people laugh at. You need it.” – Stephanie Ruhle

You’re telling yourself: “Today is handled. Tomorrow has a plan.”

That’s how you create true work-life balance while working from home. Not by working less, but by ending work well.

If you don’t already have a workday shutdown ritual, I created a FREE 5-MINUTE WORKDAY SHUTDOWN RITUAL for you to make this effortless! Simply click that button below, enter your info, then check your email to download it now!

→ Download the FREE 5-Minute Workday Shutdown Ritual now!

This is genuinely one of the most powerful habits you can build when your office lives inside your home.

CONCLUSION

Working from home doesn’t have to feel chaotic.

It doesn’t have to feel like you’re constantly behind, constantly reacting, or constantly carrying work into your evenings.

When you intentionally structure your day, everything shifts:

  • You focus better cuz you know what matters
  • You rest better cuz your brain has clear stopping points
  • You end the day with peace instead of pressure

Structure isn’t about controlling every minute of every day. It’s about creating just enough clarity to move through your day with confidence.

Small, intentional structure → 1% forward every day. And those 1% shifts compound fast!

If you want help implementing this, I’ve linked a few tools throughout the post (such as the Time Block My Day Planner, 5-Minute Workday Startup Ritual and Workday Shutdown Ritual, etc.) to help you get started.
