If you’ve ever felt like you’re stuck in a cycle of long hours, constant pressure, and never-ending to-do lists, you’re not alone.
When Dave first came to me for productivity coaching, he was working 14-16 hour days – and was still feeling like he was falling behind.
Fast forward a few months later, and Dave’s workday looked completely different: 6 focused hours, more energy, and even eventually launched his own virtual assistant business.
He didn’t just reclaim his time. He transformed his entire life.
“So often people are working hard on the wrong thing. Working on the right thing is probably more important than working hard.” – Caterina Fake
If you’re looking for real productivity coaching examples of what’s possible when you stop forcing hustle and start working with your brain, not against it, Dave’s story is a powerful place to start.
His journey shows that true productivity isn’t about doing more. It’s about doing what matters, in a way that fits your energy, goals, workload, and lifestyle. It’s about getting hours back and building a life you love – without the hustle.
Today, I’m breaking down exactly how Dave made this shift, and how you can start creating your own transformation, too.
We’re going to talk about:
- Mindset shifts to leave the hustle culture behind

WHY PRODUCTIVITY COACHING ISN’T JUST ABOUT TIME MANAGEMENT
IT’S ABOUT MINDSET, TOO!
When Dave and I first started working together, like many high achievers, he thought the answer to his overwhelm was better time management.
Maybe, he thought (as well all do), if he just found the right planner or scheduled his day more tightly then he could finally “catch up.”
But real, lasting change didn’t happen when he squeezed more tasks into his day. It happened when he shifted the way he thought about productivity itself.
“Keep an open mind. It’s the only way new things can get in.” – Collene Hoover
You see, Dave was stuck in the hustle culture mentality. He kept thinking that if he fully finished his to-do list, was always busy, and his work was practically perfect, then he was being productive.
But that’s not sustainable, and it’s not healthy. In fact, it was those beliefs that sank him deeper into burnout and impostor syndrome.
So throughout our coaching together, we worked on reframing what it even means to be productive. Here are 3 mindset shifts that unlocked the biggest changes for him:
- “I don’t need to get everything done.”
- “This is good enough.”
- “Progress over perfection.”
#1: “I don’t need to get everything done.”
Dave’s to-do list used to control him. Every unchecked task felt like a failure, and every day ended with a sense of falling short.
Through coaching, he realized that success wasn’t about finishing everything. It was about finishing what mattered most.
He now reminds himself every day, “I don’t need to get everything done.” He prioritizes and focuses on the tasks that move the needle forward for his clients and his own goals.
This shift gave him permission to focus his time and energy where it truly counted. And now, he ends each day feeling like he is, indeed, enough.
#2: “This is good enough.”
Perfectionism was quietly stealing hours from Dave’s week. He would over-polish client projects, double and triple check tasks, and delay launching new ideas because they weren’t “ready enough.”
Just like he reminds himself that he doesn’t need to get everything done, he also now reminds himself that whatever he does get done is actually good enough.
“The key to abundance is meeting limited circumstances with unlimited thoughts.” – Marianne Williamson
He uses timers to create that sense of urgency so his perfectionism takes a backseat. When that timer goes off, he tells himself that his work IS good enough.
Learning to embrace “good enough” – not sloppy, but strategic – helped him move projects forward faster and freed up precious mental energy.
#3: “Progress over perfection.”
Instead of measuring success by an unattainable ideal, Dave now acknowledges and celebrates any steps forward, even if tiny.
Progress became his new standard, not perfect outcomes. He now embraces my motto which is “move just 1% forward each day” and has made wayyy more progress in his goals and business than he was making when stuck in perfectionism.
This mindset shift allows him to stay motivated, bounce back from challenges faster, and build real, lasting momentum over time.
These 3 mindset shifts weren’t just nice ideas. They were the foundation for the practical systems and habits that helped Dave reclaim 50 hours a week and create the life he truly wanted.

THE PRODUCTIVITY COACHING STRATEGY TO SET BOUNDARIES & BOOST FOCUS
Once Dave began shifting his mindset, the next step was aligning his habits with his natural energy peaks and dips – not against it.
Like so many solopreneurs, he had blurred boundaries between work and rest, telling himself that he’d just “catch up later.”
But here’s the thing: our brains and bodies need a rhythm. Without it, even the best productivity tools and strategies will inevitably fall flat.
So here’s how Dave started using his internal clock as a tool, not a barrier:
- He prioritizes sleep and treats rest as productive
- He follows a blocked schedule that matches his energy
- He creates clear start and stop times for work
#1: He prioritizes sleep and treats rest as productive.
Before coaching, Dave was surviving on 4-6 hours of sleep. He didn’t realize how deeply it was negatively affecting his focus, mood, and ability to make decisions. But it was.
After learning more about the science and why sleep is a productivity strategy, he committed to getting at least 7 hours of sleep each night.
He set a bedtime and created a nightly routine to get him into a sleepy mode on time. He promised himself that he would at least try, and constantly reminded himself that rest is productive.
And everything changed.
His brain fog lifted, he had more clarity in the mornings, he had more energy throughout the day, and tasks that used to feel so hard suddenly felt easy.
“Real rest is like every cell is thanking you for taking care of you. It’s calm, not full of checklists and chores. It’s simple: not multitasking; not fixing broken things.” – Jennifer Williamson
So if you’re feeling just exhausted all of the time, getting your sleep schedule on track should be the only thing you focus on for a little while.
Try waking up at the same time every day, even on weekends when possible. Your body LOVES routine, and this can help you get tired at night, fall asleep faster and get better quality rest.
Also, think about creating a bedtime ritual that signals to your body that it’s time to wind down. Maybe it’s a cup of herbal tea, some light stretching, or reading a few pages of a book (NOT on your phone!).
Once you do follow a consistent sleep schedule, your life will change for the better. I can promise that.
#2: He follows a blocked scheduled that matches his energy.
Together, we mapped out when Dave had the most energy and focus, which turned out to be in the evenings. Something he never realized before.
(To figure out your energy peaks and dips, check out that link above for my step-by-step process and workbook!)
Now he uses those windows for deep work, and protects these blocks from distractions.
Instead of reacting all day, he started acting with intention. Aligning his tasks and time blocks with his energy was a simple switch that reduced wasted time and helps him complete tasks way faster – without rushing!
You’ll be surprised at how much more productive you can be when you’re in tune with your energy.
#3: He creates clear start and stop times for work.
This was a game changer!
Dave used to “sort of” work literally all day (and a lot of the times through the night, too). Like checking emails during dinner, or squeezing in a few last minute tasks while in bed.
He was always on, but never fulfilled.
“I always had the uncomfortable feeling that if I wasn’t sitting in front of a computer typing, I was wasting my time – but I pushed myself to take a wider view of what was ‘productive.’ Time spent with my family and friends was never wasted.” – Gretchen Rubin
Now? He has a consistent start time time and a hard stop time each day. And he determines these start and stop times during his Sunday reset, which we’ll talk about in a bit. Point being, he chooses his boundaries before the day begins.
Not only does this give him structure and a sense of urgency to finish what he wants to by the time he wants to, but it also makes his time feel more spacious. Because now when he’s off, he’s truly off.
Let me be honest: none of these shifts happened overnight. But with the right support and strategies, Dave was able to create a daily rhythm that actually supports his goals instead of draining his energy.

THE ACTION-TAKING FRAMEWORK TO BREAK THROUGH PROCRASTINATION
Even with those mindset shifts and an aligned schedule, Dave still faced one familiar challenge: getting started / procrastination.
He knew what needed to be done, but found himself stuck in overthinking, second-guessing, or simply feeling too overwhelmed to take the first step.
That’s when we introduced a simple, powerful framework to help him move from idea to action, without burning out or getting lost in the weeds.
The 3 steps to my action-taking framework are:
- Break it down into microsteps.
- Create and follow SOPs and action plans.
- Let systems do the thinking for you.
Let me break it down for you.
Step 1: Break it down into microsteps
Big tasks used to intimidate Dave. He’d get overwhelmed by the entirety of the project, confuse himself about the next best step, second-guess his process, and ultimately delay getting started.
I’m sure you can relate.
Nowadays, instead of staring down a giant to-do, he asks himself, “What’s the very next, small thing I need to do to move this forward?”
I like to think of this as your 1%. What’s the next 1% you can accomplish? Maybe it’s a two-minute task, just opening a document, or writing only that first sentence.
Whatever that tiny first step is, it creates momentum. And once you’re in motion, it’s a hell of a lot easier to keep going.
Step 2: Create and follow SOPs and action plans
Dave was spending way too much time and mental energy reinventing the wheel for tasks he did weekly, like onboarding new clients, creating graphic design work, or sending invoices.
When you have repeated tasks, don’t switch up how you do them every time. Instead, create an SOP – a System of Procedure, aka a workflow or step-by-step process.
So Dave and I built simple, repeatable SOPs for all of his repeated tasks.
Now, he doesn’t waste time or energy figuring out how to do something. He just follows the steps and gets it done – without overthinking or over complicating it.
“The key to productivity is to rotate your avoidance techniques.” – Shannon Wheeler
But this approach isn’t just for recurring work!
Whenever a new, unfamiliar task feels overwhelming or confusing, we applied the same principle: break it down into a step-by-step action plan.
Suddenly, it wasn’t this big, intimidating project anymore. It was a series of doable steps.
This allows Dave to move forward 1% at a time, with clarity and confidence, instead of getting stuck in procrastination or perfectionism.
Step 3: Let systems do the thinking for you
Here’s the best part about having SOPs and action plans: you get your next steps out of your head and externalize it onto paper (digital or physical).
Which means that you do not (and should not) keep everything in your head. That wastes a ton of energy, causes overwhelm, and lowers your capacity.
Instead of keeping it all inside, Dave started externalizing his decisions. He set up those SOPs (workflows) and action plans that told him exactly what to do next, so he wasn’t stuck deciding every day over and over again.
“Passion is energy. Feel the power that comes from focusing on what excites you.” – Oprah Winfrey
Decision fatigue is a very real thing. So when you can reduce the amount of decisions you have to make and can just systemize them, you’ll have better energy not just throughout the day but after work, too.
Doing so dramatically reduced the daily friction Dave felt, made starting easier, and helps him stay in a consistent, productive flow.
So how often do you feel stuck, unable to just get started? Let’s figure out how to break that cycle together in a FREE Productivity Alignment Session!

HOW BUILDING A SECOND BRAIN AVOIDS BURNOUT & EMPOWERS SMARTER DECISIONS
One of the biggest shifts Dave made wasn’t just in how he worked. It was in how he thought.
Like many high-performing solopreneurs, his brain was constantly “on.” He’d lie awake at night running through unfinished tasks or wake up feeling already behind.
Sound familiar?
That’s why we introduced the concept of a second brain. A trusted system outside of his mind where tasks, ideas, and plans could live.
This gave his mind permission to rest instead of forcing it to always try to remember, juggle, or track it all.
And the benefits were powerful.
By getting everything out of his head and into a clear, dependable system, Dave could finally focus his energy where it actually mattered. It helped him avoid burnout by relieving the pressure to hold everything in his mental inbox.
He made faster, more confident decisions because he wasn’t operating from a state of overwhelm. He had visibility, clarity, and space to think strategically.
When your brain isn’t busy trying to remember everything, it’s free to solve problems, think creatively, and show up as your best self. That’s the real gift of a second brain, not just peace of mind, but smarter, more empowered leadership.
So here is how Dave uses his second brain:
- He maintains an active brain dump
- He tracks all of his SOPs in one place
- He uses Notion as his daily planner and project hub
#1: He maintains an active brain dump
Dave’s brain dump is his mental inbox, aka the place where every idea, to-do, and “oh I can’t forget this” thought lands.
Throughout the week, he uses it to capture things as they pop up (instead of trying to remember them later). During his weekly planning (more on that in the next section), he reviews it to prioritize what actually needs his attention.
“Over the long run, the unglamourous habit of frequency fosters both productivity and creativity.” – Gretchen Rubin
This simple habit has been a gamer-changer in reducing anxiety and helping him get clear on what matters most.
When your mind knows there’s a place to put the thoughts, it no longer needs to spend energy to hold on to them.
#2: He tracks all of his SOPs in one place
Before we worked together, Dave was mentally recreating the steps for every repeatable task, whether it was onboarding a new client or prepping a content calendar.
But now? Every SOP (workflow) has a home.
By keeping his SOPs organized and accessible, Dave always knows where to go and exactly what to do.
It’s not just about saving time. It’s about freeing up mental brainpower and eliminating the friction that leads to burnout, procrastination, and second-guessing.
#3: He uses Notion as his daily planner and project hub
Everything Dave needs to run his business lives inside Notion: his task lists, client deliverables, meeting notes, content calendars, daily priorities, and more.
Instead of hobbing between sticky notes, email inboxes, and half-filled notebooks, Dave has one clear dashboard guiding his day.
“Life is too complicated not to be orderly.” – Martha Stewart
This keeps him focused, organized, and grounded in what’s next so nothing slips through the cracks and he’s never wondering, “What should I be working on now?”
Together, these tools became Dave’s second brain. Not just a place to manage work, but a powerful way to prevent burnout, reduce mental clutter, and empower better, faster decision-making.
Because when your systems are strong, your mind doesn’t have to be “on” all of the time.
Your mind can rest, breathe, and lead.

HOW STRATEGIC PLANNING IS AN ESCAPE FROM SURVIVAL MODE & PATH TO CLARITY
When Dave first came to me, he was stuck in survival mode: constantly reacting to client requests, putting out fires, and squeezing in admin work late at night.
He wasn’t running his business. His business was running him.
That all started to shift when he began planning like a CEO, not just a worker. One of the key tools we introduced? The Sunday Reset.
A Sunday Reset is the intentional practice of setting aside time each Sunday to prepare for the upcoming week. This could include a boat load of things, but should always set you up for success later on.
This simple, powerful ritual gave Dave the structure and foresight to lead his week with clarity and intention, not anxiety.
Here’s some key components to a Sunday Reset:
- Begin each week with a high-level reset
- Set realistic priorities based on actual capacity
- Lead your week like a strategist (not a task robot)
#1: Begin each week with a high-level reset
Every Sunday, Dave carves out about 30 minutes to look at the week ahead.
He revisits his goals, reviews his calendar, and plans out his daily task lists.
Sunday. The day I planned a lot, but actually did nothing.” – Anonymous
So instead of diving straight into the chaos on Monday morning, he starts each week feeling grounded and prepared.
You can also do non-work related activities, too, like cleaning your space or meal prepping. Point being: do the things that you tend to avoid but that you know make a big difference.
#2: Set realistic priorities based on actual capacity
This is a big one!
We often overestimate how much we can get done in a day, especially when meetings consume hours of time. So don’t shoot yourself in the foot by trying to fit too much in.
Nowadays, Dave plans his daily priorities based on the real space available in his calendar. If he has 4 hours of calls, he knows that’s not the day to tackle deep client work.
He’s honest about his energy, and strategic with how he plans to use it.
By aligning his tasks with his energy and availability, he avoids the trap of unrealistic to-do lists that lead to burnout and guilt.
#3: Lead your week like a strategist (not a task robot)
By planning ahead and staying consistent with his Sunday Reset, Dave can proactively design his days around what’s important, not just what’s urgent.
He’s no longer stuck in constant reaction mode. He’s making executive decisions, protecting his time, and building a business that supports his life – not the other way around.
“Plan your for work today and every day, then work your plan.” – Margaret Thatcher
Productivity coaching didn’t just help Dave “manage time.” It helped him reclaim leadership in his own life and business.
And that’s the real shift: from surviving week to week, to designing it.
